The polytechnic recognizes the trainees as its primary clientele. The office of the Dean of Trainee Affairs is charged with the responsibility of coordinating student activities. These services and activities are at the Centre of Student Welfare. The Dean’s office works closely with other offices of the Polytechnic in implementing policies governing the delivery of these services and activities. The Dean Trainee Affairs is assisted by two deputies.
Some of the key activities undertaken by the dean’s office include;
Orientation for the first-year trainees on issues that might affect them while at the polytechnic.
Registration of trainees’ clubs and associations.
Overseeing trainees’ conduct.
Follow-up on status of sick trainees.
Coordination of specialized services to trainees with special needs.
This office also coordinates the facilitation of activities organized by the student union leadership as well as facilitating student applications for Higher Education Loans Board (HELB), and the processing on internal and external bursaries. The office also coordinates pastoral care and guidance to trainees of different religious persuasions throughout the term. The office works closely with the Head of Sports and Games to ensure facilitation and participation in competitions.

Kabete Polytechnic Students’ Association (KAPOSA)
The students’ association referred to as Kabete Polytechnic Students’ Association (KAPOSA), works closely with the Dean’s office where the Dean is the patron as provided in the KAPOSA constitution.
The elected leaders voice the views of the trainees and organize various trainees’ activities;
The office of Dean Trainees Affairs facilitates communication between KAPOSA and the Administration, advises the association on key issues concerning Polytechnic policies, closely monitors the financial management of KAPOSA elections on behalf of the management.
The elective positions in the association are filled annually through competitive election after a period of campaign.
Trainees aspiring for KAPOSA leadership have to demonstrate suitable leadership qualities through their good conduct and good academic record and satisfy the requirements for seeking electoral positions as stipulated in chapter five of the KAPOSA Constitution.
